Medical Assistant-Medication Refill Coordinator – University Dermatology Associates

JOB PURPOSE: The Medical Assistant-Medication Refill Coordinator will process all patient medication refill requests and prior authorizations. Under the supervision of the Medical Assistant Lead and the Physician, the prescription refill coordinator will ensure that the medication refill policy and procedures are followed within the medical assistant scope of practice.

JOB QUALIFICATION REQUIREMENTS:

Education:
• High School diploma or equivalent.
• Graduation from an accredited two-year medical assistant program

Experience & Certifications:
• Two years work related experience required
• Current CPR certification required
• Experience in a dermatology office preferred
• Certified California Medical Assistant preferred

Performance Requirements:
Knowledge:
• Knowledge of health care field, medical terminology and medical office protocols & procedures
• Knowledge of specific assisting tasks related to the particular specialty medical practice
• Basic knowledge of MS Office, Word and Excel
• Bi-lingual English / Spanish preferred

Skills:
• Skill in performing medical assistant tasks appropriately and within the Medical Assistant Scope of Practice
• Tact and diplomacy with interpersonal interactions

Abilities:
• Ability to learn and retain information regarding patient care procedures
• Ability to plan, prioritize and complete designated tasks
• Ability to demonstrate compassion and patience when dealing with patients and patient’s families
• Ability to project a pleasant and professional image

Responsibilities

• Answer calls regarding medication refills from patients and pharmacies
• Investigate the status of medication
• Educate patients regarding UCOE medication refill policies and procedures
• Provide outstanding customer service to patients and pharmacy staff to ensure a positive image for UCOE site
• Ensure accuracy in documenting medication refill requests within patient’s Epic medical record
• Checks incoming faxes for patient medication refill requests from pharmacies
• Retrieves phone messages regarding medication refill requests
• Presents refill requests to the provider in a timely manner
• Fax back approved medication refill requests to the identified pharmacies
• Scan faxed, signed document into patient’s chart
• Notify patient and pharmacy of denied refill requests
• Prepare prior authorization intake forms for medications, per doctor’s orders
• Performs other duties as assigned
